One-time data transfer – Migration

Data migration is a one-time transfer of information from one system to another. For example, from your current system to Navigo. Think of data as any information or files. For example, projects, contacts, invoices, statements of work, etc.

With Data Migration, you can transfer information and files you have on company computers and repositories to Navigo, both those you keep for historical reasons and work-in-progress projects that would be very complex and laborious to manually overwrite.

What is data migration?

The whole process consists of a programmer creating a special program tailored to your needs, through which tens to millions of pieces of information can be transferred in a short time.

The complexity and difficulty of the whole process is determined by the amount of types of information you are transferring. For example, we can transfer contacts easily, but for large projects the process is more complex.

An example of data migration in practice:

● So far, we have managed the projects in our own Excel. We want to convert maximum information into Navigo.
● We have contacts in the CRM system for salespeople. We want to copy them to Navigo once.
● We have PDF invoices stored on disk. We want to upload them all to Navigo and attach them to the invoices in Navigo.
● We have several years of project management history in competitive software. We need to keep a complete history.

When to use data migration?

It is recommended to automatically transfer data to Navigo if you have a large amount of data. For a small number, for example ten smaller projects, it is better to rewrite them manually. The programmer has to create a specialised program for you, which has to be paid for, and this would not be worthwhile for a small amount of information.

In case you use our templates to transfer the basic data, into which you insert the data yourself, we can do without programming work and the price costs will be low.

How long will the data transfer take?

The entire implementation of the data transfer depends on the scope of work. For small and simple processes, the whole operation can take about two weeks, for larger ones two months, for very large ones up to six months.

How to prepare the data before transfer?

First, think about what information or files you really want to keep in Navigo and whether it makes sense for you. For example, you may assess that you no longer need some historical data or that you are storing redundant information. In that case, we recommend cleaning the data before proceeding. If you’re not sure which data to move, we’d be happy to discuss it with you.

Data transfer process

Please refer to Terms and Conditions 2 for a detailed description of how we generally proceed. Here we will only mention specific information that relates to one-off data transfers beyond the normal process.

Step 1 – Basic Consultation

First, our consultant will discuss the plan with you in general terms. We will evaluate your ideas, technical possibilities, price requirements and time budget. We will help you evaluate whether the solution is suitable and worthwhile for you.

2. Analysis of migration data

As part of the analysis, we first perform a basic data quality check (e.g. duplicate files, inconsistent information format, etc.). In the event of incorrect or missing data, it will need to be completed or corrected. For example, you may find that you are missing information about the planned amount on a subcontract because the previous system did not require it.

3. Implementation of programming work

For data migration, you will need to perform several rounds of testing to check the intermediate result. You know your data best and can keep the number of test runs to a minimum.

Testing is done in a test environment, so it is not done in Navigo, which you have running in your company. As part of testing cycles, database purging is common, so please do not enter any important data into the testing database as you could lose it.

Do not enter important data into Navigo in your company without our agreement until the migration is complete. If you want to use Navigo before migration, it is possible, but you will need to agree on the rules of use beforehand. Without this, it could happen that the data being moved won’t connect properly in Navigo.

In case the moved data is incomplete or there was an error during the move, and you only discover it when Navigo is already in use and your users are entering new data, it can be difficult, in some cases impossible, to correct. Therefore, make every effort to check.

If you are interested, we will provide you with the migration source codes, although there is virtually no point in keeping them given their disposability.

If you decide to leave Navigo in the future, you will have an easier time migrating to another system. You will get a database with machine-readable and clean data that can be loaded into another system.

How much does data migration cost?

We measure work in the so-called. person (MD). One MD represents one person’s work for eight hours. The hourly rate is based on the current price list on the website www.navigo3.com. The price is without value added tax.

Depending on the scope of work of the programmer and analyst, the cost of migration ranges from 2 MD to 8 MD, more in complex cases. The price can increase due to poor data quality or data in a machine-difficult-to-read format.
