First steps with Navigo

You’ve decided to start using Navigo, you’ve already tried our test instance and now you’re starting to work with Navigo for real. If you have had an analysis done, you will make some of the settings and data filling more detailed according to it. Here you will find basic instructions on how to get Navigo up and running for full use in your business.

Sign in!

As with the test version, you log in using the link you received from us by email. When you click on it, the system will ask you to set a password. Your instance is completely empty, there are no test projects there, not even the ones you created for your company in the test instance. You will then need to make basic settings in the Settings section, which can be found under the cogwheel in the top right corner of the Navigo.
Here you will set all the important data that will be used as a basis for Navigo when project managers, line staff, economists or HR managers start using it.

Beware – without some settings, it is not possible to create a project in Navigo at all, or the system will work inaccurately or incorrectly.

Your company in Navigo

The instance in Navigo was created based on the information you filled in when you created it. This information can be found by clicking on the cogwheel in the Company tab. Filling in the data is important for the creation of orders and invoices, among other things.

Create organisational units

This setup is especially useful for larger companies where you need to divide the company into smaller departments. This then allows you to filter between these groups, for example, and also makes it easier to set up approvals and blocks. If you don’t set up organizational units, Navigo will treat your entire company as one organizational unit.

Create user groups and set their rights

To set rights, you first need to create groups of users according to their competencies. You can then assign rights to these groups in bulk. This is an important feature that will make project and human resources management much easier. Detailed in the video

Create a user

A user is any person who will use Navigo in your company.
Therefore, you need to enter all these people into Navigo in the Users tab, which you can find under the cogwheel. You must fill in all the fields marked in red. This setup will allow these users to start assigning tasks, you will see the financial reality and a capacity plan will be created. If you are unsure about any of the mandatory information, please contact us and we will help you. All items can be corrected at any time. You also need to set a price for the user’s work and assign all the rights groups to which the user should belong. You can invite users to Navigo using the Send Invitation button. Detailed in the video Users.

Beware – without creating a user, you cannot create a project for which this person is to be responsible.

Set the overhead rate

At this point, you need to make up your mind and set the company’s overhead rate. Navigo will use this setting for all projects. It is important to take this step now, because changing the overhead rate retroactively when there are already labor statements for the period is very problematic.

Set work types and prices

To be able to assign work, you need to have set up what work your employees do and how much their work costs. In the Work Types and Price tab, you can add any number of jobs and their price, which you will then use when assigning tasks.

You are now at the stage where you can start creating schedules in Navigo, employees can report work, you can subcontract and many more.
However, we still recommend setting up some other items that will make working in Navigo easier.

Enter your contacts

In the tab Contacts fill in your customers, potential customers and suppliers. You can find the tab on the main page. Click on it to add individual customers using +. Autocomplete from Ares will help you fill in their details.

Attention – without filling in the contacts you will not be able to assign the project to a customer and Navigo will not allow you to create the project!

Set categories

While this is not a prerequisite for using Navigo, it will allow you to set up searches in Navigo according to your own parameters. You can make the settings at any time later. You can set up categories in many places, for example for projects, subcontracts, planned income, contacts, etc.

Use system settings

We try to make Navigo as meaningful as possible for you in the basic settings. However, you may have some specific needs. For example, in the areas of information sharing, work reporting, invoices, orders and many others. These are specific detailed settings and we recommend looking at them when you find some settings that are not appropriate when working with Navigo.
